Terms of Service

These terms govern your use of Campus Care, a school operations platform provided by NexGen AI Automations (“we,” “us,” or “Campus Care”). By creating an account or using the service you agree to these terms. If you don't agree, don't use the service.

1. Who can use Campus Care

Campus Care is licensed for use by K-12 school districts and their authorized staff. You must be at least 18 years old to create or accept an account. When you sign up to create a new district, you confirm that you have the authority to bind your district to these terms.

2. Accounts and roles

  • The first account created for a district is the Head Admin. The Head Admin can invite additional users and assign their roles.
  • Each account is personal and may not be shared. Sharing credentials is grounds for account suspension.
  • Sessions stay signed in for up to 30 days of inactivity on the device you signed in from. The session cookie is HTTP-only and refreshed at most once per day.
  • You can reset a forgotten password from the Forgot? link on the sign-in page. A one-time link is emailed to the address on file and expires in 60 minutes.
  • Demo accounts on shared seed data are provided for evaluation only and are visible to anyone with the public credentials. Do not enter real personal data into a demo organization.
  • You are responsible for all activity on accounts you control, including those of staff you've invited.

3. Acceptable use

You agree not to:

  • Reverse engineer, decompile, or attempt to extract the source code of Campus Care
  • Use the service to store or transmit malware, phishing content, or illegal material
  • Probe the service for vulnerabilities except via the responsible-disclosure process
  • Scrape data using automated agents beyond ordinary in-app navigation
  • Resell or sublicense access to a different district without our written consent
  • Upload student-identifying information into free-text fields contrary to FERPA

4. Subscription and billing

  • Campus Care is sold as five flat-rate monthly tiers based on the size of your staff:
    • Small District — $200/mo, up to 40 staff
    • Growing District — $399/mo, 41–75 staff
    • Standard District — $599/mo, 76–150 staff
    • Large District — $899/mo, 151–300 staff
    • Enterprise — custom pricing for 300+ staff (contact us)
  • Pilot Partner rate is $150/mo for invitation-only first-year partners (up to 40 staff), with a 12-month price lock.
  • Head Admin and Accountant accounts are unlimited at no extra charge regardless of tier.
  • No card is required to look around — you can create a district and try Campus Care without entering payment information. Adding paid seats requires a Stripe-managed payment method.
  • Payments are processed by Stripe. We do not store full card numbers.
  • Subscriptions auto-renew monthly until you cancel. Cancellation takes effect at the end of the current billing period.
  • Refunds are issued at our discretion for service failures we caused. We do not refund unused portions of a paid month.

4a. In-app messaging

Campus Care includes direct messages, group threads, and a head-admin broadcast channel for sharing operational updates within a district. All messages are scoped to the district that sent them — users in one district cannot see messages from another. Messages are stored alongside the rest of your district's operational data and follow the same retention and deletion rules described in Section 5. Do not use messaging to transmit student PII or other regulated data.

5. Your data

You own the data your district enters into Campus Care. We process it solely to provide the service. Our Privacy Policy describes what we collect, where it lives, and how it's protected.

On cancellation, your data is retained for 90 days during which a district admin can request an export. After 90 days, the data is permanently deleted from our active systems; residual backup copies expire within 30 days thereafter.

6. Availability

We aim for 99.5% uptime measured monthly, excluding scheduled maintenance announced at least 48 hours in advance. If we miss that target, please email us; we'll work with you on appropriate service credit.

We are not responsible for outages caused by upstream providers (hosting, database, email) or events beyond our reasonable control.

7. Changes to the service

We continuously improve Campus Care. We may add, modify, or retire features at any time. For material changes that remove a capability your district was actively using, we'll give 30 days' notice.

8. Disclaimer

Campus Care is provided as-is, without warranties of any kind. We do not guarantee the service will be uninterrupted, error-free, or meet every requirement of your district. Critical compliance reporting (such as SISBO) generated by Campus Care is your district's responsibility to verify before submission.

9. Limitation of liability

To the maximum extent permitted by law, our aggregate liability arising out of or related to these terms is limited to the amount you paid us in the 12 months preceding the claim. We are not liable for indirect, incidental, consequential, or punitive damages, or for lost data beyond what reasonable backups would have prevented.

10. Indemnification

You agree to indemnify Campus Care for claims arising out of your district's misuse of the service, your violation of these terms, or your district's violation of applicable law (FERPA, state privacy statutes, employment law, etc.) in operating the service.

11. Termination

You may cancel any time from Settings → Billing. We may suspend or terminate accounts that violate these terms, with notice except for cases of active abuse or security risk.

12. Governing law

These terms are governed by the laws of the State of Idaho, without regard to conflict of laws principles. Disputes are subject to the exclusive jurisdiction of the state and federal courts located in Idaho.

13. Changes to these terms

If we materially change these terms, district admins will receive email notice and have 30 days to review before new terms take effect. Continuing to use the service after that period counts as acceptance.
